Exhibitor-Sub-Blocks

    • Can I reserve a Sub-block for my exhibit team?

      Any exhibitor requiring eight (8) or more hotel room reservations on peak night at any host hotel will be considered a sub-block and must execute a Sub-Block Agreement.
      Room inventory is limited and will be assigned on a first-come, first-served basis. Exhibitors and sponsors requiring larger room blocks are encouraged to secure accommodations as early as possible.
      A copy of the Sub-Block Agreement may be requested from the designated HMP Global housing representative.

      A nonrefundable deposit equal to two (2) nights’ room rate and applicable taxes per room is required at the time the sub-block is confirmed.
      Full prepayment for the remaining rooms within the sub-block is due no later than four (4) weeks prior to the hotel reservation cutoff date.
      A final rooming list must be submitted by the hotel reservation cutoff date and must include each guest’s full name, arrival and departure dates, and email address.
      Any rooms canceled on or after the prepayment due date are nonrefundable. Cancellations made after this date will result in the forfeiture of 100% of the room rate and applicable taxes associated with the canceled reservation(s).

    • What if I am contacted by someone offering lower rates or urging me to book immediately?

      You may receive solicitations from individuals or agencies appearing to offer guest room reservations (often at reduced rates) on behalf of HMP Global, the conference, or the host hotel(s).

      Please be aware that HMP Global, the conference, and the hotel have NOT authorized any third party to block or sell rooms to attendees of the event. Hotel reservations made by unaffiliated organizations may appear to be authentic and may offer lower rates; however, they are often illegitimate.

Reservation-Guarantee-Policy

    • What is the deposit/guarantee policy for this event?

      All attendee reservations must be guaranteed with a nonrefundable deposit equal to one night's room and tax.
      Exhibitor reservations must be guaranteed with a nonrefundable deposit equal to two nights' room and tax.
