    • Cancellation and Nonrefundable Deposit Policies

      Attendee: When booking your hotel accommodations, you must provide a valid credit card number to guarantee payment. All reservations require a non-refundable deposit of one night’s room & tax. Hotels will charge the non-refundable deposit of one night’s room & tax on or after August 17, 2026. This deposit will be applied to each guest’s folio upon check-in. Please note that if you cancel on or after August 17, 2026, this deposit will not be refunded.

      In the event you check out of your hotel room prior to the reserved check-out date, the hotel may add an early departure fee to your guest folio. If you wish to avoid an early check out fee, please advise the Hotel at or before check-in of any change in planned length of stay.

    • Reservation Acknowledgments

      For reservations made in the official EMS World housing block, hotel confirmations will be sent by Orchid Events on or around September 10, 2026. If you do not receive your confirmation, please contact Orchid Events at 888.665.1370 or via email at help@orchid.events.

    • Exhibitor Room Block Request

      To request a block of 10 or more rooms, please click here and complete the online request form. Once completed, Orchid will be in touch to discuss availability at the hotels you identified. 

      The deadline for booking a room block and attaching a name to each reservation is 5:00 PM ET on July 13, 2026 
      Rooms without a name will be released (no exceptions). 

      A non-refundable deposit of two nights' room and tax per reservation will be charged the week of August 17, 2026
